Bus logisticsrun in-house
Festival shuttles, works transport, rail replacement: Busly gives bus operators the tools to run such contracts themselves — every trip and service in one project, delivered together with partners, from quote through dispatch to invoice.

Run large projects yourself instead of handing them over
Festival, works or rail replacement transport rarely fails at the driving — it fails at the coordination. That is exactly why such contracts end up with agencies. With Busly you run them yourself: from quote through dispatch to invoice.
- The client stays yours, not an agency’s
- No margin handed to an agency — the spread stays in-house
- Pricing, dispatch, subcontracting and billing in one place
- Projects your own fleet alone could not cover

The whole project in one place
Items, packages, offers, bookings and invoices all live in the same project — with the dispatch plan right beside them. Your drivers get their tours on their phones at the same time, from the same data. No exports, no second tool, no list anyone has to keep in sync by hand.

Tours, lines, accommodation and more in one project
A large-scale project is not a list of individual bookings. It has one client, one period, one calculation — and dozens of interdependent trips underneath.
At forty items nobody knows what is missing
That is exactly where contracts fall apart: a trip without a bus, an offer about to expire, an invoice open for weeks. The overview checks six cases and links straight to the spot.
6 items not yet ordered
Order the open tours and services so they turn into bookings.
4 bookings without coach or driver
Assign vehicles and drivers in the calendar.
Offer about to expire
Valid until 12 Sep — after that the tour falls back to draft.
2 tours waiting on the client
The client still has to confirm the request.
Invoice overdue
Invoice 2026-00013 — €38,794.00 outstanding.
Many items, one offer, one invoice
Ordering forty trips one by one would be the real work. That is why the unit in a project is the package — costed, ordered and invoiced as one.
Does your own fleet cover the package?
Which coach runs which shift? With ten trips you can work it out in your head, with fifty you cannot. Busly checks feasibility for a whole package at the press of a button — and names every trip with no coach available.
38 of 42 trips feasible
Your client on one side, partners on the other
The client wants to know where the project stands. Subcontractors need their trips and prices. Busly keeps both connections inside the same project — you sit in the middle and decide what goes to whom.

Part of the complete Busly software
Projects use the same vehicles, drivers, contacts, invoices and more as the rest of the platform. Nothing is maintained twice.
From tender document to deployment plan
Four steps that hold up even when the contract runs for weeks.

Create the project
Name, client, period. The project is the bracket around everything that follows.

Add the trips
Create trips, define shuttles by service window and cadence, add additional services. Templates save the repetition.

Bundle and order
Group items into packages, calculate the customer price, place the order. Bookings and a consolidated invoice follow.

Dispatch and delegate
Check feasibility, assign your own vehicles in the calendar, pass the rest to subcontractors. The overview keeps track of what is still open.

Frequently asked questions about project management
What projects are built for — and where their limits are.
For contracts made up of many connected trips: shuttle services at major events and trade fairs, shift-based works transport, rail replacement services, multi-day congress logistics. A single sightseeing tour stays an ordinary booking — no project needed.
The number of trips and packages in a project is not limited. The feasibility check processes up to 50 trips per package in one run; larger projects are split across several packages that still belong together.
Then you hand individual trips on. After ordering you decide per booking: run it yourself, hand it to a specific subcontractor from your contacts, or put it out to tender on the subcontractor marketplace. What you pay the subcontractor and what the customer pays stay separate, and the margin is visible at all times.
As its own request type with a service window and cadence instead of individual departures. “Every 20 minutes from 6am to 10pm” becomes one item in the project, not a list of 48 trips.
Only if you order them individually. Group items into a package and it produces one consolidated invoice covering all included trips and additional services.
Nothing. Project management is free — like the entire Busly software: dispatch, CRM, driver app, invoicing. No subscription, no monthly fee, no setup cost, no limit on the number of projects. Projects you create and run yourself are free of charge.
